Compensation: $28–30/hour (based on experience)
Job Summary
The Library Digitization Coordinator plays a vital role in bridging library staff and the digitization team, ensuring materials move efficiently and accurately through the digitization workflow. This is a hands-on position focused on working directly with physical collections—pulling, organizing, tracking, and preparing materials for digitization.
While the role involves coordination and communication, the day-to-day work centers on handling books and archival materials with care and precision. This position is essential to maintaining organization, accuracy, and quality as materials transition from physical collections into digital formats.
Key Responsibilities
1. Collection Logistics & Intake
- Serve as the primary point of contact for librarians to identify, prepare, and receive books and manuscripts for digitization
- Maintain detailed records of materials moving in and out of the library to ensure proper tracking and asset security
- Understand and document collection-specific handling standards (e.g., fragile materials, special instructions)
2. Digitization Oversight
- Collaborate closely with the digitization team to communicate project goals, timelines, and technical requirements
- Monitor the hand-off process between library staff and scanning teams to prevent workflow bottlenecks
- Identify and help resolve challenges such as difficult-to-digitize materials, readability issues, or minor restoration needs
3. Quality Assurance & Communication
- Conduct spot checks on digitized files to ensure quality standards for image clarity and metadata accuracy
- Provide regular progress updates to stakeholders on milestones and timelines
- Facilitate feedback between the library and digitization teams to continuously improve processes
Qualifications & Expectations
- Experience working in a library, archive, or similar environment
- Comfortable with hands-on, physical work (lifting, moving, and packing books/materials)
- Strong attention to detail and organizational skills
- Ability to follow established processes and maintain accurate records
- Reliable, adaptable, and team-oriented
- Willingness to support other responsibilities as needed
Key Competencies & Skills
- Understanding of library/archival handling standards and digitization workflows
- High level of accuracy and attention to detail
- Ability to work effectively in both quiet library environments and fast-paced production settings
Preferred Qualifications
- Prior experience in a library, archive, or related field
- Library or archival training, coursework, or certification
- Basic computer skills (e.g., Excel, Windows)
- Experience with inventory tracking or logistics systems
- Ability to pass a basic background check
